Verdin VMS (the "Service") is a visitor management system operated by Paramhans Computers ("we", "us", "our"), a sole proprietorship registered in Punjab, India (GSTIN: 03AJQPM4129B1ZI). Organisations use the Service to manage visitors at their premises. This Privacy Policy explains what information we collect, how we use it, and the choices available to you. By using the Service you agree to the practices described here.

1. Information we collect

We collect information needed to operate visitor management on behalf of the organisations that use Verdin:

• Visitor details — name, phone number, email (optional), company, and purpose of visit, provided by the host employee or the visitor at check-in.
• Visit records — invitation, check-in and check-out times, the host being visited, the gate or location, and visit status.
• Account & staff data — names, email addresses, roles, and location assignments of the organisation's employees, administrators, and gate staff.
• Photos — an optional visitor photo captured at the gate where the organisation enables it.
• Technical data — standard log information such as IP address and device/browser type, used for security and reliability.

2. How we use information

• To create and manage visitor invitations and check-in/check-out.
• To notify hosts of invitations, arrivals, and approval requests — including via WhatsApp, push notification, and email.
• To generate visit reports and an audit trail for the organisation.
• To secure the Service, prevent abuse, and meet legal obligations.

3. WhatsApp and messaging

Where enabled, Verdin sends visitors and hosts messages over WhatsApp and other channels containing visit details, check-in codes, and links. We send these messages only to facilitate a scheduled or requested visit. We do not use visitor contact details for marketing.

4. How information is shared

Visitor and visit data belongs to the organisation that operates the visit (the data controller); we process it on their behalf. We do not sell personal information. We share data only with:

• The organisation whose premises the visit relates to, and its authorised staff.
• Service providers that help us run the Service (e.g. cloud hosting, messaging and email delivery), under appropriate confidentiality and data-processing terms.
• Authorities where required by law.

5. Data retention

We retain visitor and visit records for as long as the organisation's account is active or as needed to provide the Service, and thereafter only as required for legitimate business or legal purposes. Organisations may request deletion of their data.

6. Security

We use industry-standard measures — encryption in transit (HTTPS/TLS), access controls, and secure cloud infrastructure — to protect information. No method of transmission or storage is completely secure, but we work to protect your data and continually improve our safeguards.

7. Your rights

Depending on your location, you may have rights to access, correct, or delete your personal information, or to object to certain processing. As visitor data is controlled by the host organisation, please direct such requests to that organisation, or contact us and we will assist.

8. Children

The Service is intended for use by organisations and is not directed at children.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will revise the "Last updated" date above when we do.
